DUTIES AND RESPONSIBILITES

All Areas

Answers telephone in a prompt, courteous and professional manner; conveys complete messages; greets and assists visitors, and provides directions and information in a courteous, helpful, and professional manner; runs errands within Administrative Building. Logs all incoming mail correspondence, requisitions/recommendations, announcement of vacancy. Etc., and distribute to appropriate HR staff. 

 

Processing Areas of Specialization 

Calls applicants to schedule for processing, required employee testing (such as TB testing, physical examinations, etc.), or to secure required documents for employment records.  Processes new employee packets and completes employee intake and processing.  Ensures that all signatures are completed on contracts/employment documents and copies are filed and / or distributed appropriately.  Prepares files (labels, application, references, codes, etc.) for new hires; prepares and secures signatures on Authorization to Report forms; issues all required documents (job description, employee handbook, etc.) to new hires during processing in a timely manner.  Initiates, verifies and maintains certifications for Certified/Classified employees.  Proofreads records or forms; takes steps to insure accuracy of all documents, data, and reports.  Ensures that required employee documents are processed and received in a timely manner; maintains tracking of contracts and/or other employment documents as assigned for all employees and for all resignations and  retirements. Examines files and/or microfilmed records to investigate and answer inquires and provide information to authorized persons and for Public Information Act requests.  Compiles data from HR System and personnel records and prepares reports in a timely manner.  Maintains accurate, organized and current files and records; sorts and files records.  Conducts exit interview, distributes approved resignation/retirement information to appropriate personnel; insures that COBRA information is enclosed with the resignation/retirement approval.  Prepares service records for employees; insures that service record reflects correct number of days employed and leave days earned/used; verifies that the corrected balances for state and local sick leave are posted to the service record; prepares service records for terminating employees.  Prepares correspondence, reports, or documents, copying information from one record to another; proofreads and makes corrections.  Assists with preparation of materials and arrangements for employee training and in-service sessions, special projects and events (such as annual employee recognition ceremony).


Compensation Area of Specialization

Accurately enters data in payroll set-up screens to implement employment changes and establish new hires in the HR System for payroll; updates all salary changes, increases, level and position changes, personal data changes and other required information for the HR System; records employee information such as personal data, compensation, termination date and reason.  Updates employee files to document personnel action(s) and to provide information for payroll and historical tracking; files employment documents in a timely manner.  Maintains Position Control related to the HR Payroll System.  Updates all salary changes, increases, level and position changes, personal data changes and other required information for the HR System.  Records employee information such as personal data, compensation, and termination date and reason.  Insures that payoffs for employees separating employment accurately reflect leave days. Computes wages and records data for use in payroll processing.  Ensures that employees are correctly docked when there is no pay leave available; ensures that payoffs for employees separating employment accurately reflect leave days.


Application Area of Specialization

Process, enter, and verify all required documentation for applicants and adds notes into Application system in a timely manner.  Uploads files for background check and forwards to HR Administration for review and approval.  Uploads/collect data (results) from driver license checks for applicants interested in driving required positions in a timely manner.  Enters and uploads file for fingerprint pass to ECOS for all new hires and recommendation as needed.  Ensures all hired personnel is enabled and resigned/terminated personnel is disabled to comply with DPS compliance codes.  Issues clearance for all volunteers, student and campus clearance, home health, nurses, etc. from previous day in a timely manner.   Promptly updates the applicant tracking system.  Create and maintain classified job descriptions and evaluations.  Maintains job announcements for classified positions.  Assist with PEIMS snapshot information. Verifies and inputs data.  Assist HR Coordinator with transfer list during transfer period for certified/classified.  Assist HR Coordinator with summer school program for certified/classified. 

 

Medical Leave Area of Specialization

Prepares FMLA documents, Medical Leave Requests, Temporary Disability Leave Requests, Leave of Absence, Assault Leaves, Religious Leaves, Worker’s Compensation leave documents, verification and related correspondence and notifications in a timely fashion.  Maintain security of all records and complies with requests for information in a manner consistent with security practices. I have keyed cabinet files for medical files.  Assists with updating employee files to document personnel action(s) and to provide information for payroll and other uses; proofreads records or forms; sorts and file records.  Maintains an accurate and updated list of employees returning to work with restrictions in the database.  Maintains and tracks employees returning back to work with restrictions and their 45 day deadline.  Monitors implementation of policy and procedures for absences; reports noncompliance of policy and procedures to immediate supervisor; alerts immediate supervisor when an employee exhausts his/her available leave.  Maintains an accurate and update list of all employees on FMLA and Temporary Disability in the database.  Maintains an accurate and update list of appeals on all employees that claim and receive unemployment benefits under Texas Workforce Commission in the database.  Prepare employee medical records for drug testing and file all drug testing in alphabetical order on all new and existing employees Maintains an accurate and updates employee files on the Sick Leave Bank.  Assists with typing and preparation of documents/reports for office as needed. 

 

Substitute Teacher Area of Specialization

Prepares materials and makes arrangements for substitute teacher in-service training.  Verifies applicant information to determine eligibility.  Creates employment files at the time of processing.  Maintains personnel files in a neat, orderly manner, verifying for duplicate files.  Revises Substitute Teacher Handbook annually.  Processes, updates, reactivates and maintains substitute employee records.  Handles all incoming and outgoing correspondence for the substitute personnel.  Produces an accurate substitute teacher list.  Provides HR Coordinators with substitute and vacancy lists by cluster.  Assures that Help Desk service is provided as scheduled and in a courteous and professional manner.  Updates automated system quarterly for proper teacher assignments and pay schedules.  Prepares budget reports related to substitute teacher expenses and submits in a timely manner.  Receives and verifies timesheets for substitute teachers.  Prepares and reconciles payroll documentation for substitute teachers in a timely manner.  Notifies Administration of delays in Help Desk operations.
